What is the cost for delivery?

Answer: $35(one time delivery fee) in the Greater Rochester Area. We also deliver outside of Rochester. Just give us a call at (585)266-4200 for more information. Some additional fees may be applied for same day delivery and pick-up and/or pick-up at night.

When do you require a payment?

Answer: 40% is due upon order and the balance on Delivery.

TERMS AND CONDITIONS FOR RENTAL EQUIPMENT

These terms and conditions may not be altered except in writing and signed by both the lessee and the lessor.

1.)   All final payments must be received the day prior to delivery. If your deposit was made by credit card the balance due will be applied to your card. A credit card must be on file and no personal checks will be accepted as final payment.
2.)   Bob Spatola's Party Rental Inc., (lessor) may terminate or declare this contract void if the customer (lessee) violates any of the following terms and conditions.
3.)   Lessee will not sublease remove, sell or dispose of rented equipment.
4.)   Lessee use of equipment will be for legal purposes only and lessee agrees to pay any fines for illegal use of rented equipment.
5.)   Lessee assumes all risks arising from the use of rented equipment and understands that injury to customers and others and promises to hold BOB SPATOLA'S PARTY RENTAL INC. harmless from claims resulting from improper use of the equipment.
6.)   The rented items are insured only on the premises that the Lessor has indicated on contract.
7.)   Lessee is responsible for any loss or damage caused to the rented items.
8.)   Lessee will return or have available rented items for pick-up at the time agreed or additional rental fees will be applied on a daily usage.
9.)   Should the Lessor find enforcement of these terms or conditions necessary or have to recover any sums due, Lessee agrees to pay all attorney fees, court costs or costs of collection.
10.) Lessee agrees to return linen free of garbage and agrees that all glassware, flatware, and china will be returned in a clean condition and repacked in original containers.
11.) Lessee agrees that there will be no refunds on unused equipment.
12.) Lessee agrees to pay 2.5% per month late charge on all past due accounts beginning 30 days after date of invoice.
13.) A decision by the Lessor not to enforce any provision of this contract shall not constitute a waiver other provisions, and if any provision of this contract is deemed to be unenforceable by a court of law, it shall not affect any other provision of this contract.

If you cancel your order for any reason, your deposit will be returned after a cancellation fee has been
deducted. Cancellation fees are based on the following criteria.
10% of deposit held as cancellation fee prior to 30 days.
100% of deposit held as cancellation fee within 30 days of event.
40% of tent rental cost will be held as cancellation fee within 30 days of event

What is the latest time I may change something on my order?

Answer: We prefer a two day notice, so that we have the opportunity to make the proper changes to your order because we prepare and load all orders the day prior to delivery.

Can you set up a tent on a paved parking lot?

Answer: Yes, but we have to use a frame tent. Instead of stakes we often use water barrels or cement blocks. If necessary, we sometimes use stakes and we fill the holes when we tear down but at an additional costs.

Can the delivery staff be tiped?

Answer: The staff that makes our deliveries are key to the success of your event. Therefore, tiping the staff is appropriate.

What size tent do I need?

Answer: It all depends on the type of event your hosting. As a rule of thumb we use the chart below as a guide for comfortable seating and is intended for seating only. It does not take in consideration any dance floor, stages, DJ, or buffet tables. We have 2 different types of tents that we offer:

1)Pole, can only be installed on grass and will have 1 or more center poles. Requires a stake at every pole and need about 5 or more feet on the outside perimeter of the tent. Example: a 20X20 Pole requires 25 feet X 25 feet of surface.

2)Frame, although frame tents are a stand alone system. Staking is required, however each side leg does not need to be stake. We can use different forms of staking like : stakes or water barrels, We use the water barrels where using stakes is not allowed or staking is limited. Examples: parking lots, blacktop, concrete, patio decks, pools, tennis courts, etc.

We also offer tents in different colors but they are not listed in the chart below. For more information regarding the tents, please call us at (585)266-4200. We can arrange a site visit to have someone measure the location. Appointments can be set after hours and weekends.

This calculator does not include any additional square footage for the DJ, Cake table, Dance Floor, etc.

How much room do I need for my tent?

Answer: You need at least 5 feet perimeter around the tent. Example: if your tent is 20X20, we require 25X25 feet of clearance for staking. It applies for both frame and pole tents. We can also arrange a site visit to have someone measure it for you.

When are deliveries usually made?

Answer: Unless otherwise required your delivery will always be made the day prior to your event. All wedding deliveries are made 2 days prior to the event with no additional cost.

Can I offer the staff something to drink?

Answer: Offering water or any beverage is allowed excluding alcoholic beverages.
